Event Chairs: Ashley & Jennifer, 2 Shadows needed
- Works with other event chairs. Responsibilities of the event chairs includes communication with all chair teams, ensures there are volunteers to each chair area, liaison with PTO, inventory items needed, set up & monitor wish lists and day of volunteer lists, orders the food and handles miscellaneous requests. Heavy involvement weekend of event.
- 3 different raffle positions; chair coordinator/organizer, chair outreach, chair classroom baskets. Chair coordinator responsible for organizing items as they are donated, orders raffle tickets, coordinates sets up/distribution on the day of event. Chair outreach responsible for reaching out to the community through the year (outreach begins in October). Pick up donated items and deliver them to the chair coordinator. Chair classroom baskets coordinates with teachers on a classroom basket theme and ensures there is a parent volunteer to lead the basket raffle. Monitors that there isn't any duplicate themed baskets and guides parents with any questions they have through the process. Start reaching out to teachers in February with a letter to send home to the families. All raffle chairs will have heavy involvement the weekend of the event.
- Organize and plan games that occur day of event. Plan and order all prizes to be given out at event. Coordinate and facilities the bags tournament. Work together with dinner chair to fulfill advance dinner/game ticket sales. Remains available during "One Stop Chicken" sales week prior to event. Coordinates volunteers the day of event. Responsible for tallying and communicating game punch card sales. Moderate involvement month of event to organize existing games and heavy involvement the weekend of the event.
- Updates and coordinates printing of current year's dinner tickets. Creates and distributes flyers to student families and handles fulfillments of advance dinner/game ticket sales. Remains available during "One Stop Chicken" sales week prior to event. Coordinates volunteers & ticket sales tables for the day of event and coordinates post sales of leftover food. Responsible for tallying and and communicating dinner ticket sales. Heavy involvement the weekend of the event.
- Determines pricing for bake shop, updates items needed on the wishlist, coordinates volunteers for day of event and runs the bake shop. Monitors the cake decorating contest/silent auction. Coordinates with kitchen and takeout on day of event to distribute desserts. Heavy involvement the weekend of event.
- Determines what food and pricing for concessions offered, updates food items needed on the wishlist, coordinates volunteers for the day of event and runs the concession booth the day of event. Heavy involvement the weekend of the event.
- Coordinates volunteer chefs and ensures all secret ingredients for grilling are added to the wishlist, oversees the grills and requests any repairs needed, preps the world class food the weekend of the event, leads the volunteers grilling the chicken and cleans up after the event. Heavy involvement the weekend of the event.
- Coordinates volunteers and ensures all needed items are added to the wishlist, sets up the dining room the weekend of the event, leads the volunteers in maintain a clean dining room and serving coffee, cleans up the event. Heavy involvement the weekend of the event.
- Updates kitchen wishlist, coordinates volunteers day of event. Responsible for set up and cleaning of the kitchen area the day of event, handling and serving families. Coordinates distribution of left over food. Heavy involvement the weekend of the event.
- Updates items needed on the wishlist, coordinates volunteers needed day of event, set up and take down of the take out and handing out food on the day of event. Heave involvement the weekend of the event.
